Privacy Policy

What we collect, why we collect it, who sees it, and what you can ask us to do with it.

This policy explains what personal data Unihub Network collects, why, how long we keep it, and the choices you have. It covers this website and the products in the Unihub Network, including Gradsy.

Who we are. Unihub Network is an edtech company operating from Kathmandu, Nepal. For the purposes of data protection law, the data controller is Unihub Network Private Limited, registered at Dillibazar, Kathmandu, Nepal (behind Citizen Bank), company registration number 294235/079/080.

What we collect

We collect only what we need to do the job you came to us for.

Information you give us

  • Account details — your name and email address when you create an account.
  • Study profile — the information you enter to get matched: your level of study, grades or expected grades, field of interest, budget range, preferred destinations and intended intake.
  • Saved items — the programs and universities you save, and notes you add to them.
  • Documents — files you choose to upload to track your own application, such as transcripts or test results.
  • Messages — anything you send us by email or through a form on this site.

Information we collect automatically

  • Usage data — pages and screens viewed, features used, and actions taken, so we can see what works and what does not. This comes from our own service logs; we do not use a third-party analytics product.
  • Device and technical data — device type, operating system, browser, approximate location derived from IP address, and language.
  • Cookies and similar technologies — see Cookies below.

What we do not collect. We do not ask for financial account details, passport numbers, or government identity numbers to use our products. If a university requires those, you provide them to that university, not to us.

Where we rely on legitimate interests, we have weighed those interests against your rights and concluded they do not override them. You can object at any time — see Your rights.

Who sees your data

We do not sell your personal data. We do not sell it to universities, to partners, or to anyone else.

Your data is shared only in these situations:

  • When you apply. If you choose to apply to a program, the information needed for that application is shared with that institution. You decide when this happens; it does not happen automatically because a program appeared in your results.
  • Service providers. Companies that run parts of our infrastructure on our behalf. They act on our instructions, may not use your data for their own purposes, and are bound by contract to protect it. Our current providers are:

We will update this list before adding a new provider that handles your personal data.

  • Legal obligations. Where we are required by law, or to establish or defend legal claims.
  • A change of ownership. If the company is acquired or merges, data may transfer to the new owner, who remains bound by this policy or gives you notice of a replacement.

Aggregated statistics that cannot identify you — for example how many students searched for a destination — may be shared with partners or published. This is never individual-level data.

International transfers

We operate from Nepal and serve students in many countries, so your data is processed outside the country most of you live in.

Where your data is stored. Your account, profile, saved programs and uploaded documents are held in our database in Mumbai, India (South Asia region). Email is processed by providers in their own regions.

If you are in the UK or EEA, this means your data leaves that area. India has no adequacy decision, so we rely on appropriate safeguards for those transfers — standard contractual clauses in our agreements with the providers named above.

How long we keep it

  • Account and profile data — while your account is open, then deleted or anonymised within 6 months of closure.
  • Documents you upload — deleted when you delete them, or within 6 months of account closure.
  • Support messages — 6 months from the last message.
  • Waitlist and newsletter addresses — until you ask to be removed, or 12 months after the launch you signed up for, whichever comes first. If you join a waitlist we store only your email address and which list it was.
  • Usage data — retained in aggregated form, which cannot identify you.

We may keep limited records for longer where the law requires it.

Your rights

Wherever you live, you can ask us to:

  • Access the personal data we hold about you, and receive a copy.
  • Correct anything inaccurate or incomplete.
  • Delete your data, where we have no overriding reason to keep it.
  • Export your data in a portable, machine-readable format.
  • Restrict or object to processing based on legitimate interests, including profiling used for matching.
  • Withdraw consent to marketing at any time, without affecting anything done before.

To exercise any of these, write to [email protected]. We will not charge you or treat you differently for asking.

If you are in the UK or EEA and are unhappy with our response, you can complain to your national data protection authority. We would rather you came to us first.

Cookies

We use a small number of cookies and similar technologies:

  • Essential — keeping you signed in and keeping the service secure. These cannot be turned off without breaking the product.
  • Preference — remembering choices such as your language or filters.

You can control cookies through your browser settings. Blocking essential cookies will stop parts of the service from working.

We do not use third-party analytics, advertising or tracking cookies. There is no Google Analytics, no advertising pixel and no tracking SDK in our website or our apps — which is why you are not being asked to dismiss a consent banner. If that ever changes we will update this policy and ask for your consent first, before the change takes effect.

Automated decisions

Our matching engine scores programs against the profile you give us. This is automated, but it is not a decision about you — it produces a ranked list with the reasoning shown, and nothing is accepted or rejected on our side as a result. Admissions decisions are made by universities, not by us. You can see why any program matched, and you can change your profile and run it again at any time.

Children

Our products are intended for people aged 16 and over. If you believe a younger child has given us personal data, write to us and we will delete it.

Security

We protect data in transit and at rest, restrict internal access to those who need it, and review our providers. No system is perfectly secure, and we will not claim otherwise. If a breach affects your rights, we will tell you and the relevant regulator as the law requires.

Changes to this policy

If we make a material change we will tell you before it takes effect — by email where we have your address, and by a notice on this page. The date at the top always shows the current version.

What we provide, what we do not, and the rules for using our products.

These terms are an agreement between you and Unihub Network. They apply to this website and to the products in the Unihub Network, including Gradsy. By creating an account or using our products, you accept them.

What we provide

We provide software that helps students find, compare and apply to university programs abroad, and keep track of their own application.

What that means in practice. We collect and maintain information about universities and programs, we score that catalogue against the profile you give us, and we show you the reasoning behind every match. We also give you a place to track your documents and deadlines.

What it does not mean. Please read this part carefully — it is the part people most often assume otherwise.

  • We do not decide admissions. Universities do. A high match score is information about fit, not an offer, a prediction, or any kind of assurance that you will be accepted.
  • We are not your legal, immigration or financial adviser. Nothing in our products is legal, visa or financial advice. Visa and immigration outcomes are decided by governments, not by us.
  • We do not produce or issue documents. We help you organise your own genuine documents. Official documents come from your university or the relevant authority. We will never help anyone create, alter or misrepresent a document, and doing so will end your account.
  • Information can be wrong or out of date. We work hard to keep entry requirements, tuition, intakes and deadlines accurate, and we correct errors as fast as we find them. Institutions still change them without notice. Always confirm the details with the institution before you rely on them for a decision, a payment, or an application.
  • Costs are estimates unless stated otherwise. Tuition is shown as published by the institution. Any converted or estimated figure is labelled as an estimate and should not be used as a budget of record.

Cost

Gradsy is free for students to search, compare and apply. If we ever introduce a paid feature, it will be clearly marked as paid and you will never be charged without agreeing first.

Eligibility and accounts

You must be at least 16 to create an account. If you are under the age of majority where you live, you confirm that a parent or guardian agrees to these terms on your behalf.

You are responsible for the accuracy of the information you enter, for keeping your password secure, and for what happens under your account. Tell us promptly at [email protected] if you think someone else has access to it.

One person, one account. Do not share your account or let anyone else use it.

Acceptable use

Do not:

  • Enter information you know to be false in order to obtain matches or an application outcome
  • Upload documents that are not genuinely yours, or that have been altered
  • Scrape, bulk-download, resell or redistribute our catalogue or any part of the service
  • Attempt to break, overload, probe or circumvent the security of the service
  • Use the service to harass, defraud or impersonate anyone
  • Reverse-engineer the products except where the law expressly allows it

We may suspend or close an account that breaks these rules. Where it is reasonable to do so, we will tell you why and give you a chance to put it right.

Your content

You keep ownership of everything you upload. Your documents, notes and profile remain yours.

You grant us a limited licence to store, process and display that content solely to provide the service to you — for example to match you to programs, show you your own checklist, or send an application you have chosen to send. This licence ends when you delete the content or close your account, apart from backups that expire on our normal cycle.

Do not upload content you do not have the right to upload.

Our content

The products, the software, the design, the Unihub Network and Gradsy names and logos, and the structure and organisation of our catalogue belong to us or our licensors. You may use them only as part of using the service as intended.

Underlying facts about universities and programs are not ours to own, and we make no claim over them. Our compilation, structure and presentation of that information are protected.

Partners and third parties

Our products link to universities, institutions and other third parties. We do not control those organisations or their websites, and we are not responsible for their content, decisions, requirements or policies. Any dealings you have with them are between you and them.

Where an institution is a partner, that does not change how matching works. Matching is based on the requirements and profile data described in our products, and every result shows its reasoning.

Availability

We aim to keep the service running and improving, but we do not promise uninterrupted availability. We may change, suspend or discontinue features, and we may need to take the service down for maintenance. Where a change materially reduces what you get, we will give reasonable notice if we can.

Disclaimers

To the extent the law allows, the service is provided "as is" and "as available", and we exclude implied warranties of merchantability, fitness for a particular purpose and non-infringement.

We do not warrant that the catalogue is complete or error-free, that a match will lead to an offer, or that any particular outcome — admission, scholarship, visa or otherwise — will follow from using our products.

Nothing here excludes liability that cannot lawfully be excluded, including for death or personal injury caused by negligence, or for fraud.

Limitation of liability

To the extent the law allows, we are not liable for indirect or consequential loss, or for loss of opportunity, savings, data or reputation.

Our total liability to you arising from these terms or from your use of the service, taken together across all claims, is limited to NPR 20,000 (twenty thousand Nepalese Rupees).

Some jurisdictions do not allow certain limitations, in which case those limitations do not apply to you.

Ending the agreement

You may close your account at any time from your account settings, or by writing to [email protected].

We may suspend or end your access if you materially break these terms, if we are required to by law, or if we discontinue the service. On closure, we handle your data as described in the Privacy Policy.

The sections on your content, our content, disclaimers, limitation of liability and governing law survive the end of this agreement.

Changes to these terms

We may update these terms. If a change is material, we will tell you before it takes effect — by email where we have your address, and by a notice on this page. Continuing to use the service after that means you accept the updated terms. If you do not, you can close your account.

Governing law

These terms are governed by the laws of Nepal, and the courts of Nepal have exclusive jurisdiction — except that if you are a consumer, you keep the benefit of any mandatory protections and the right to bring proceedings in the courts of the country where you live.
